Psychologists, Osteopaths, Chiropractors, Naturopaths, Counselors and other Personal Services practitioners use a live Virtual Receptionist to answer their phone calls, book Appointments and update their Calendar
“As a psychologist, I have a home studio where patients visit for treatment. Before I took advantage of a Virtual Receptionist answering my phone, most of the day my phone was diverting to voicemail. If someone is sick they want attention as soon as possible and need to book a time to see me. I knew I was missing out on new patients. Since handing over my telephone answering to Virtual Headquarters, a live receptionist is answering my calls all day. I can breathe easy knowing I never miss calls. They not only answer my phone with due consideration for my profession and the kind of person who would be calling, but can access my diary (calendar), make appointments and amend bookings. My patients like it too.”

Sydney
No matter where you are based in Australia (e.g. Sydney, Melbourne, Brisbane, Adelaide, Canberra, Perth, Hobart, Darwin or the Gold Coast), a live telephone answering service with your own receptionist makes economic sense to.
Take a typical example of a Sydney Osteopath who spends around 24 hours face to face with clients each week. Clients are billed $75 for a 25 minute consultation.
Prior to using a Virtual Receptionist, a typical day would start like this:
9am – 9.25am Appointment 1
9.30am – 9.55am Appointment 2
I would then spend time checking my phone for voice messages left by existing clients and new potential customers. If new customers leave a message, and often they don’t (presumably they call another Osteopath - if I’m lucky they might call again) I call them back. Often they won’t be available so I leave a message. We play telephone tag as I am then seeing other clients again when they call back.
With this inefficiency every second hour I will schedule my next appointment at ¼ past the hour, so I can promptly return calls just missed.
Having employed a Virtual Receptionist, I now never miss a call, knowing all potential customers talk to a live professional receptionist who can provide basic information, book an initial consultation in my diary / calendar or amend a booking.
The numbers: BEFORE employing a Virtual Receptionist
4 days per week x 12 appointments per day = 48 consultations per week
At $75 per booking = $3,600 revenue per week
The numbers: AFTER employing a Virtual Receptionist
4 days per week x 14 appointments per day = 56 consultations per week
At $75 per booking = $4,200 revenue per week
Increased revenue of $600 per week = $2,400 per month.
On the Virtual Receptionist plan of 15 calls per day ($175 per month) + Diary Management for booking all my appointments ($40 per month) my cost is $215 per month + GST to have a live full time receptionist answering my phone calls. |
